Preparing Court Forms using FormEvo

Learn how to use FormEvo's legal forms in ShareDo.

Introduction

ShareDo integrates with FormEvo's comprehensive and secure electronic and digital legal forms library. Previously, ShareDo users who required court forms had to download the form, convert it to Microsoft Word format, and add ShareDo tags to use it. This is no longer the case. FormEvo provides a library of electronic forms, and ShareDo's integration with FormEvo allows for the following:

  • FormEvo documents can be made available within ShareDo just like any other document template.
  • Configurators can map the ShareDo data schema to the FormEvo form schema. When a user requests a form, the form is prepopulated with ShareDo data. 
  • While the final production of the form will occur in FormEvo, when this process is completed, it will be sent back to Sharedo for storage.

How to use FormEvo forms in ShareDo

Once FormEvo integration and the legal forms document templates have been configured, you can access forms from the Prepare Documents menu on the ribbon of a work type.

The Document Admin would have configured the necessary forms for the work type you're busy with, mapped ShareDo data with FormEvo form fields, and made them available in a menu category. Before using these configured forms, you must link your ShareDo account with a FormEvo account. If you do not have a FormEvo account, ShareDo will create one for you during this configuration step.

If your ShareDo and FormEvo account is not linked, you will be informed when you try to create a document that is a FormEvo form.

To fix the issue, click on your profile menu in the top right corner and select My linked accounts.

If your administrator granted a team your account is assigned to access to the linked service, you will see the legal form integration service. 

Click Configure to link your account to FormEvo. If you don't have a FormEvo account, you must have one created in FormEvo. If you have a FormEvo account, enter your Client ID and Secret in the space provided and click Link FormEvo to link your ShareDo account with your FormEvo account. Click Save and close to continue.

The Link User Manually section will only be available if the system administrator allows it when configuring the Legal Forms Global Feature and Linked Service for FormEvo integration.

The system can take a few seconds to communicate with FormEvo and might report that the user does not exist in FormEvo. If you get that message, wait a few seconds and click the link button again.

Contact your configurator to confirm those details if you encounter a problem with the Client ID and Secret.

 

The linked service will show as green when the account is successfully linked.

Your Documents Admin would have configured the legal forms document templates and made them available in the Prepare Documents menu. In the image below, the D81 and TR1 forms are available in the Legal Forms category - your forms and category names may be different.

Select the form you want to create, and the Prepare Document - Electronic Form blade opens.

When you click Create on the Prepare Document blade, the Legal Form section informs you that the form is being created.

It takes FormEvo a short time to create the form. ShareDo will inform you by a toast notification on the bottom right side of the screen when the form is created in FormEvo. Click the refresh icon to see your form details.

Label Description
TR1 The form name. This will be the name that the Document Admin configured in the template.
Status This is the status of the form in FormEvo.
Data last updated Click the refresh icon to open the Update Form Data blade. You will see any new or changed data mapped to fields in FormEvo. Click Update Form to update the fields and close the blade. The next section of this article has more information on updating fields.
Status last checked Click the refresh icon to update the status reported here and show the last time and date that the status was last checked.
Open the form in FormEvo to finish filling in fields and perform other actions, like finalising the form.

Finalising the form in FormEvo makes the document available as a PDF in the Document Generation Output Folder selected in ShareDo.

 

Updating data in the FormEvo form

To update data on the legal form that may have changed in the ShareDo matter, you must open the Prepare Document legal form task and use the Data Last Updated refresh icon.

For example, an incorrect person is named as the client in a matter, but the mistake is only discovered after the legal form is created in FormEvo. So you edit the matter and change the client to the correct person. To update the client name in the legal form in FormEvo, open the Prepare Document legal form task and use the Data Last Updated refresh icon. 

The Update Form Data blade opens, showing you which field values changed. In our example, the client value would have changed. Click Update Form to send the change to FormEvo. 

Date format

FormEvo may report that the format of dates should be as in the image above, but it is important that you only format dates as
yyyy-MM-dd. This is especially important when mapping data composer fields to date fields in FormEvo.

You can then open the form in FormEvo to check your changes and continue as usual.

You can update the FormEvo fields as the document moves through the phase model until you finalise the form in FormEvo by clicking the Finalise option in the Form Actions menu. When you finalise the form and refresh the Status Last Checked with the refresh icon (just like with the Data Last Checked icon) in ShareDo, the Done button appears in the Legal Form ribbon menu. You can still use the Unfinalise option in FormEvo to make changes before you click the Done button in ShareDo.

In ShareDo, clicking the Done button sets the phase to done. Once done, you can no longer update the document and would need to discard it and create a new legal form to replace it.
