Transform your business, increase your productivity and delight your clients by using our rapid implementation process
Step 1 - Choose your approach
At ShareDo we recommend the continuous process improvement '+1' approach to getting the most from our product. Start simple and then build up your capabilities - there are three primary approaches to this.
High coverage / low complexity - implement the product across your organisation to gain rapid benefits but minimise implementation of features and workflow. As your organisation gains experience build up functionality and complexity iteratively. This approach gives you the advantage of getting users hands on with the system so they can help shape and guide your implementation to best suit your business and gives you a rapid, cross organisational roll out capability.
Focused coverage - implement ShareDo in a smaller area of your business but implement a wider depth of features and workflow capabilities. This gives you the ability to show off the capabilities of the product to the business and gain buy in.
Hybrid Approach - Mix both of these approaches and whilst implementing a High coverage / low complexity approach primarily allow a single business area / work type to go with focused coverage. This allows you to reap the benefits of both approaches.
Step 2 - Choose your work types and accelerator packs
Once you have decided on your approach you can then start to determine which types of work you want to implement and how you can most efficiently implement them in ShareDo. There are two elements to this
Defining your work type hierarchy
Deciding which types of work you want to implement is an important part of your projects and by defining an optimum work type hierarchy you can future proof your business by ensuring that you don't have to constantly replicate configuration. Our guide to work type modelling can be found here Modeling your work types with ShareDo
Selecting your solution accelerators
A key benefit of implementing ShareDo within your organisation is that we have combined all of our expertise and experience to produce accelerator packs. These packs aim to boost your implementation by providing out of the box configuration and functionality that allows you to immediately get started with creating your work. For example if you are a law firm looking to implement residential conveyancing you can immediately get started with our out of the box residential real estate functionality and processes.
You can read more about our accelerators here - Solution Packages and Accelerators
Step 3 - Definition Phase
The definition phase of a project allows us to work through the requirements of your business and to translate these into a high level design that will define your ShareDo implementation. Typically for a first phase the definition phase is carried out in partnership with the ShareDo team but once you have that experience you will be able to carry out your definition exercises independently.
The outputs from a definition phase are
- High Level Design - this document defines the ShareDo configuration that will be required to implement your project at a high level
- Project plan - a project plan which will give you the timescales or options around your implementation
- Estimating sheet - an estimating sheet which will provide the effort and cost associated with your implementation
- High Level Technical Design - a high level technical design document which will detail any integrations or architectural elements of a project
Step 4 - Construction
The construction phase of a project is where the configuration of the product is carried out in order to meet the business requirements. This initially will include the setup of any environments or integrations that are required. Your configuration team can work alongside ours to gain a rapid understanding of how to configure the product and to enable you to become self sufficient as soon as possible.
Our experience tells us that constant interaction and playbacks to the business is vitally important during this phase. Business buy in and continuous feedback is crucial to ensuring that your implementation delivers value to your teams and your clients.
Outside of configuration its also important to think about the business change elements of your implementation. Training, communications and any operational changes that are going to be required in your business. The most successful implementations we see are where these elements have been included as an integral part of the project.
Step 5 - Transition
Once your initial construction is complete then you can move into a period of transition. This allows you to undertake user acceptance testing, operational testing, training and ramp up your change management activities.
Step 6 - Support & Continuous Process Improvement
Once your system is live then you will move into a period of support and stabilisation. This of course does not mean that your implementation is finished. One of the benefits of implementing ShareDo is that you can continuously use the data that you are collecting to continuously refine and improve your processes or make use of new functionality to improve the efficiency and effectiveness of your business. As a SaaS product will will also be able to take advantage of new features and functionality being added to the product which will help you to stay at the leading edge of the market and impress your clients.
