Overview
Document Bundling is a feature that enables you to combine documents uploaded or created in ShareDo into one PDF document. Bundles are created using a set of configurable Bundle Templates. These templates define the overall style of the generated document and each of the individual sections that make up its main body. The documents can then be dragged from the ShareDo document repository into each Bundle section. When ready, a fully styled, indexed, and paginated document can be generated without leaving the ShareDo application.
You can create a Document Bundle from the following places in ShareDo:
Create a bundle from the Documents repository
Navigate to a matter and select Documents from the left menu. Then, click the bundle icon at the top right (highlighted in the image below) to open the Expectations/Bundle panel.
This panel lists all existing Bundles. To add a new one, click the + icon.
Create a bundle from the Create menu
Select Document Bundle from the Create menu in the Actions bar. Note that your system may not have this option configured.
Regardless of the method chosen, a New Bundle blade will appear.
This blade contains all options required to configure your new Bundle.
- The Bundle Details aspect determines the type and layout of the Bundle to be created.
- The Bundle Sections aspect organises the required sections, with options to add documents to each Section.
- The Task Details aspect specifies the Task that will be generated to manage the Phases of the bundle's lifecycle, from Draft to Issue.
Bundle Details
Bundle Template
Different Templates have different layouts and formatting, depending upon the type of work being undertaken and the purpose of the Bundle.
E.g. a Hearing Bundle may require the names of the Tribunal and all interested parties to be presented in the header and the Bundle contents will need to be laid out in a format prescribed by the Tribunal.
ShareDo is configured so that selecting the Bundle Template automatically completes all of the details in the Bundle Details and Bundle Sections aspects with the appropriate settings. However, these details can be changed for each Bundle if necessary.
Name | This will be used to generate the file name and Title of the Bundle. |
Output Folder | The generated Bundle will be saved to this folder location within the document repository in ShareDo. |
Title Page | This document will be used as a template to generate the main Title Page and Index at the top of the Bundle. E.g. Tribunal Header |
Section Header | The top sheet of the Section. This document typically shows the title of the Bundle section below. E.g. Experts Report, together with the title of any documents within that Section. |
Document Separator | This document is automatically inserted in between each document within a Section to act as a separator between the end of one document and the start of another. This typically includes the document title. |
Bundle Sections
Bundle Sections are designed to capture a group of documents with a common theme.
Each Section's naming conventions and contents are transposed directly into the PDF Bundle document generated in ShareDo.
Each Section's initial naming and order is determined by the Bundle Template chosen earlier.
Rename Sections
Click in the Section Name box and amend the name.
Create New Sections
Select Add Section. This adds a new blank Section at the bottom of the list.
Re-Order Sections within a Bundle
Use the up and down arrows to the right of each Section Name.
Remove Sections
Use the icon to the right of the Section Name.
Add Documents to a Section
Add documents to each Section as required.

If the document repository is displayed, simply drag & drop documents onto the relevant Section.
Tip! You can preview documents before adding them to a Bundle. Simply click on the underlined document name to open a separate Preview blade.
Alternatively:
- Click on the
icon to the right of each Section to open the repository in a new Choose Documents e.
- Use the checkboxes to select the appropriate document(s).
- Select the Confirm button at the top right.
Once added to a section, a new entry appears. Amend the Document Name and enter a reference if required.

Task Details
These details are inherited from the Bundle Details above. Review and, if necessary, amend the details for this Task that will be automatically generated when the Bundle is generated.
Key actions here would be to:
- Set the due date of the Bundle (and any reminders)
- In the Action Plan & Related Tasks nav, create any checklist items for work that needs to be undertaken in preparation of the Bundle.
Save Progress
The Save, Save & Exit, and Cancel buttons are to the top right of the Ribbon Bar.
Save when creating a new Bundle
Clicking Cancel without ever having saved the Bundle would exit the creation process, and all the information entered so far would be lost when the blade was closed.
The first time that either the Save or Save & Exit buttons are clicked, a Bundle Task is created in the work item's worklist, with the Phase of “Draft”:

Document Repository Shortcuts
When the Bundle is first saved, ShareDo also creates a shortcut to the Bundle in the repository. The number displayed represents the number of documents within the Bundle. The current Phase of the Bundle is presented underneath.
Save when amending an existing Bundle
Save / Save & Close saves any changes made. Cancel closes the form, and any changes are lost.
Generate a Document Bundle
Bundle documents cannot be generated unless each section contains at least one document. If a section is not needed, delete it. These can be added back later if needed. You can make changes to the bundle until is finalised (i.e., has the phase of “Issued”).
To generate the Bundle document, click the Generate button.
The bundle may take a long time to finish and will be generated in the background. This allows you to continue working. You are informed once the process is complete.
Notifications
A notification displays immediately to indicate the generated bundle has complete. It displays as an orange pop-up at the bottom right of ShareDo, as well as entries in the My Notifications blade and Worklist.
Task
The existing Bundle Task is updated to a Phase of “Generated”, or a new one created if none existed.
The Document Bundle Output
A new output PDF document is added to the document repository for the relevant case. ShareDo adds it to the folder and produces a unique name using the name provided by the user in the Bundle Details section, followed by a date/time stamp.
Click on the document to open it.
The title page is built using the information added in the Bundle Sections.
Global page numbering is used at the foot of each page.
Hyperlinks / Navigable Index
If the Enable Navigable Index feature is enabled in the Document Bundling Global Feature configuration, index entries are generated as hyperlinks to the relevant sections. When the mouse hovers over an entry in the Index, a hand icon appears. Clicking on the entry will take the user to the beginning of the selected Section or document in the Bundle.
The Enable Navigable Index feature must be activated for the Outline to display in the PDF viewer.
Outline / Table of Contents
If the Enable Outline feature is enabled in the Document Bundling Global Feature configuration, a clickable Index is available within your PDF Viewer.
Chrome
In Chrome, the outline is on the left:
Click on the appropriate section or document to be taken to the appropriate part of the bundle.
Edge
In the Edge browser, the outline is at the top left. Clicking it opens the table of contents.
Acrobat
In Acrobat Reader, the outline is found under Bookmarks.
Bundling Error Log
ShareDo allows you to configure an aspect to show an error log when bundling generation fails. The image below is an example of this.
This example has the Work Item Job Log Nav aspect added to the footer of the Document Bundle work item. The Log nav bar is only present when an error occurs during bundle generation. It also has an Info Message aspect that provides the message “Bundling process has failed. Please review the job log” when the bundling task moves to the error phase. This is configured with a matching rule that checks for the phase change.
Amend Bundles
Open the Bundle blade by clicking on the Bundle Task in a Worklist, or the shortcut in the Bundle section of the document repository.
If the Bundle is in Draft state, the details can be amended, as required.
If the Bundle has been Generated, the following aspect displays at the top of the blade:
This provides access to the documents in the Bundle, as well as the Bundle itself.

Phases
Administrators can configure Bundles templates so that they move through a variety of Phases, including Approval. However, the standard Phase path for Bundles is:
- Draft - Bundle is being worked on and can be amended as required.

Generated - A PDF Document Bundle is created and Bundle Details set to be read-only.
The Phase must be manually changed back to Draft before the Bundle details can be changed (see below). - Issued - The Bundle has been issued out to the relevant parties. This is the end of the process.
Revert to Draft
If further changes are required to a generated Bundle, click on the Draft button to revert the Bundle back into the Draft Phase.
If the Bundle is amended and regenerated, the name of the Bundle Document changes to include the date and time of the regeneration.
A Bundle can be moved back and forth between the Draft and Generated Phases as many times as are required.
Issue Bundle
“Issue” denotes that work on the Bundle has completed and it has been sent out to the relevant parties.
Changing the Phase to Issued removes the Task from the case worklist and adds it to the “Closed” worklist with a status of Issued.
It also removes the shortcut from the Bundles section of the document repository.
Copy Bundles
If you need to create a new bundle of documents from those already in an existing bundle, use the Copy function found in the bundle's blade ribbon menu, provided the bundle is in an open state.
For example, a fee earner generates a bundle "Brief to Counsel" and sends it to counsel. If the matter progresses, a substantial number of the same documents in the “Brief to Counsel” bundle will then be needed for a second bundle, maybe called "Settlement Talks". Other documents will also be added to the bundle.
The Copy function generates a copy of the entire “Brief to Counsel” as a new bundle which you can then change as needed. The copy function does not also copy the final bundled PDF from the original bundle.
The Bundles widget shows both open and completed bundles, with open bundles at the top of the list.
Document Repository Options
In the Document repository, click the burger menu to the right of the Document Bundle to view the menu bar options.

The following options are particularly relevant to document Bundles.
Split Bundles
The Split option allows the Bundle PDF document to be split into separate PDF documents. This is a useful feature if, for example, you wish to extract a Section and send it out by email.

Enter the Title to be used for the new extracted document, and the folder to save to.
Enter the page range to be included in the split, with a dash between page numbers. If more than one range of pages is required use a comma between ranges e.g. 1–10, 15-17.

To send your Bundle, click on checkbox to the left of your Bundle and then click the Send menu bar button. Select the appropriate channel. If Email is selected, a blank “Top and Tail” email blade displays, with the Bundle automatically attached. Complete the details and send the email.
Download
Bundles can be large documents. This option allows you to download the Bundle. It can then be transferred onto a medium such as a portable flash drive or perhaps uploaded to an online shared area.
Click the checkbox to the left of your Bundle and then click the Download menu bar button. The Bundle will automatically download to your Download folder.
