ShareDo has one objective, one purpose and one focus. To manage work. It does not manage work as a by-product of being designed for a different purpose. Every line of code, every design decision and every user interaction is designed to streamline and optimise how work moves from one stage to another.

What is Work?

Given that ShareDo manages ‘work’, it is important that we define exactly what that means.

Simply put ‘work’ is any process that has a defined start point, a defined end point, and goes through any number of stages and activities between those two points.

Work does not have to be predictable—although it can be. ShareDo supports work that is artisanal and largely unpredictable, as well as work that is highly prescriptive.

The obvious unit of work within a law firm is, of course, a matter. This has a start and an end, and activities take place between the two. However, it could mean much more than that. It could also mean, for example:

  • ‘Matter inception’ from the moment a potential matter is identified, we manage this as an item of work. In the case of successful onboarding, this is then automatically fed into the start of the matter management work type.
  • A fee or estimate quoting system. As will be seen, the platform supports 3rd party portals and using these, a potential work type might be dealing with an existing client enquiry initiated by the client through their portal, a fee being established for that work (automatically and/or with manual intervention), that fee being submitted back to the client via the portal with the client accepting/rejecting the quote. Whilst a discrete process in its own right, this too could feed into the start of the matter management work type for accepted quotes.
  • Triaging and management of ‘jobs’ (e.g. PowerPoint deck preparation, proofreading, document production etc.) to an in-house or external ‘legal delivery centre’ (for want of a better description) where discrete tasks are being managed rather than an entire matter (although these could also be sub work types of an entire matter being managed within ShareDo).
  • Contract collaboration: ShareDo treats the collaborative preparation, negotiation and signature of documents as another type of work.
  • Incident Management – you are not restricted in your modelling of work in any way; indeed, our in-house clients typically begin their management of work downstream from the legal work, for example, in the management of incidents.

In short, work is simply a term to describe a series of activities making up a discrete ‘unit’. However, for the majority of this proposal, unless the context specifically requires otherwise, we shall use the management of matters as our primary example, given that these represent the most common and some of the most complex work types that ShareDo is asked to manage.

  • Flexible model Approval and Supervision steps within processes with reference to users' competencies and authority limits.

Document Management ShareDo integrates seamlessly with your existing Document Management System (DMS), whether that be O365, iManage, SharePoint or one of several leading DMSs. We then provide a rich set of collaboration and document management features on top of those systems, including preview, redaction, bundling, and sharing of documents.

Document & Assembly

ShareDo provides best-in-class document and email generation capabilities, including the ability to:

  • Automate the production of Document Templates or Emails; templates can consist of multiple documents and can include attachments or physical enclosures.
  • Manage the lifecycle and production of document bundles for disclosure, court and other use cases.
  • Efficiently issue documents via channels including email, electronic signature or external posts.
  • Manage Digital Mailrooms, including the filing of documents.

Email Management

Financial Management

The platform includes extensive case accounting capabilities, enabling your case handlers to access all relevant financial information from the CMS alone.

The foundation for this is a multi-segment chart of accounts that can be adjusted for your different work types. On top of this chart of accounts, ShareDo provides transaction support for:

Business Intelligence

ShareDo promotes quality data capture through intelligent management of data quality. This information is then projected into a star schema data warehouse to enable ad hoc reporting and trend analysis.

While any reporting tool can be used to visualise this information, ShareDo provides several embedded visualisations across the application called “radars” together with extensive capabilities to embed Power BI as part of the application.
