Overview
The intention of this solution is to provide a specialist task work type for case handlers to use to request and track records, such as GP records, employment records, financial records, etc.
The design is intended to be flexible to provide handlers with an assistive tool, rather than a step-by-step prescriptive process. The solution may be combined with other micro solutions and accelerators to build up the configuration at a faster pace and may also be extended to meet more detailed requirements.
In Clio Operate, two new task work types have been created for ‘Forms of Authority’ and ‘Record Request’; these are not intended to be used as a standalone work types, but as a related child task type to existing matter work types. It consists of participants, data capture, key dates and an associated phase plan, and the accelerator also includes the following workflows:
| TRIGGER | WORKFLOW | WORKFLOW DESCRIPTION |
|---|---|---|
|
Forms of Authority (FOA)
|
Work Item Phase = Requesting

Workflow to generate document expectation task and manage key dates
|
| Record Request |

Context/Background
Forms of Authority (FOA) give a solicitor permission to act on their client’s behalf and access the necessary information/records to move forward with a case. Records requests are commonly made to authorities such as GPs, Hospitals, and Employers/Accident Book authorities. These records are crucial for assessing and proving liability and injury severity/damage, for example.
The FOA and records request solution has been designed to enable handlers to request, track and action FOAs and requests for records during case assessment/investigation stages. Each request will have its own instance, to enable easy monitoring and identification of different requests and their status.
