Before you start

• This feature applies only to O365 SharePoint document repositories. Other repository providers are not affected.
• Your administrator must enable the ChangeFileTitles capability on the repository before the feature appears in Clio Operate. Contact your administrator if the actions described below are not available.
• To edit titles inline, the DMS widget must include a Title column. See the steps below.

Overview

SharePoint files have two distinct properties: a file name (the filename on disk) and a title (a metadata field). Until now, Clio Operate could rename only the file name. The ChangeFileTitles capability adds support for changing a file's title in any Repository Explorer surface backed by an O365 SharePoint repository, while leaving the file name untouched.

Renaming the title does not change the file name. Renaming the file name does not change the title. Both can be edited independently or, when both Rename and Change Title are enabled, together in a single Rename action.

Where the capability applies

With ChangeFileTitles enabled on a repository, title changes are available anywhere the Repository Explorer is used, including:

• The matter DMS.
• The document template DMS.
• Any other widget or blade that hosts the Repository Explorer.

The capability is provider-specific. Only O365 SharePoint repositories support it; other providers remain unaffected.

Add the Title column to a DMS widget

For users to see and edit titles inline, add the Title column to the DMS widget through Portal designer.

1. Navigate to Modeller > Work types, and open the work type that hosts the DMS widget.
2. Select Portal designer, then open the page that contains the DMS widget (for example, Documents).
3. Select the pencil icon next to the DMS widget to open the Edit widget panel.
4. In the Columns section, select + Add, then choose Title.
5. Select Save and reload the page. The Title column appears in the DMS widget for matters that use this work type.

What users see

When ChangeFileTitles is enabled, title changes surface in three places, depending on what else is enabled on the repository:

• Ribbon and burger menu: when a file is selected, the Change Title action is available. The action opens a dialogue for editing the title.
• Inline edit: when the Title column is visible in the Repository Explorer, clicking a title cell starts an inline edit. This works in the same way as inline file-name edits.
• Combined Rename dialogue: when both RenameFiles and ChangeFileTitles are enabled on the repository, the existing Rename action (triggered by double-clicking the file name or selecting Rename from the menu) opens a dialogue titled Rename with two fields:
  • File name: the editable base name. The file extension is shown alongside but is not part of the editable input, so the extension is preserved.
  • Title: a free-text input pre-populated with the current title.

The user can edit either field or both. Save commits both changes; Cancel discards them.

If the Title column is not visible, the inline edit path is not available; the ribbon, burger menu, and combined dialogue still work.

Optional: hide Change Title in a specific widget

If you need to hide the Change Title UI in a particular DMS widget without affecting the repository, this option may be exposed in the widget's Advanced configuration. Open the widget's Edit widget panel in Portal designer, switch to the Advanced view, and look for the showChangeTitle option. Setting it to false hides the Change Title UI in that widget only.

If the Change Title action does not appear in a widget where you expect it, check the widget's Advanced configuration to confirm showChangeTitle is not set to false.
