Search and filter the Chronology

Use search, filters and saved views to find entries in the Chronology. They work the same way in List view and Timeline view.

Before you start

  • The Has time filter displays only if you have permission to view time.
  • The Show public view filter displays only if you have permission to view private entries.
  • The filters that display depend on the page. For example, the participant filters display only on a case or Matter page.

Search the Chronology

  1. Select the Search... box in the toolbar.
  2. Type a word or part of a word.

The entries update when you type. In List view, a loading bar displays until the results load.

What search covers

Search looks at the text that displays on each entry:

  • the title
  • the type, for example Case Milestone
  • the status
  • the participants
  • the name of the case or work item
  • the summary and details
  • the tags
  • the names of related items, such as documents and attachments

Search also finds the user who recorded an entry.

Search does not look at dates, times, durations or comment text. To find entries by date, use the Date range filter.

How words match

  • Search is not case-sensitive.
  • A search term matches part of a word. For example, mile finds Case Milestone achieved.
  • If you type more than one word, an entry must match every word. The words can match different parts of the entry.
  • Search also finds some near spellings, with one letter different and the same first letter. For example, lettar finds letter.

Search with filters

Search works with the filters and the saved view that you have applied. To clear the search, select the ✕ in the Search... box. The Chronology returns to your filtered entries.

If no entries match, List view displays No rows to display. Timeline view displays No chronology records match your search criteria. To display entries again, clear the search or change the filters.

Search text is not saved in a saved view.

Filter the Chronology

  1. Select Filters in the toolbar.
  2. Set the filters that you need.
  3. Select Apply.

Changes take effect only after you select Apply. A tick on the Filters button indicates that filters are applied. The view selector displays Custom until you save the filters as a view. To close the panel without applying your changes, select outside the panel.

The Filters panel, with the date range, the check boxes, the participant filters, Save view, Clear and Apply.

Filters

Filter What it does
Date range Displays entries from the start date to the end date. Enter dates only. The end date includes the whole day. If the start date is later than the end date, no entries display.
Show child entries Includes entries from work items directly below the case, such as proceedings and tasks. Entries from work items further down are not included. Your administrator sets whether this option is selected by default.
Show public view Hides private entries, so that the Chronology displays only entries that external participants can see.
Has related items

Displays only entries with at least one related item, such as a document or an email attachment.

Has time Displays only time entries and entries with time recorded against their work item.
Participants Displays entries for the participants that you select. See Participants below.
Case only Displays only entries that have no participant.
Participant categories Displays entries for participants in the categories that you select.
Participant roles Displays entries for participants with the roles that you select.
Tags Displays entries with the tags that you select.
Points of interest Displays entries of the types that you select, for example Email or Comment.

If you select a participant role and a participant category, the Chronology displays entries that match either of them. The lists of roles and categories are in alphabetical order, and include only roles and categories with entries.

Participants

  • The list includes only participants who have at least one entry.
  • If Show child entries is selected, the list also includes participants on child work items. A participant's role on the case displays under their name. To see their roles on child work items, select + N other matters.
  • The list is sorted by the number of entries, then by name.
  • To find a participant, type their name or role in the search box.
  • If you select more than one participant, the Chronology displays entries for any of them.
  • Selecting a participant also displays entries that the participant created as a user.

Clear the filters

To remove all filters, select Clear. The Chronology updates straight away, without Apply, and the panel stays open. Show child entries returns to its default.

How filters are remembered

The Chronology remembers your filters for each Matter, in the browser that you use. The filters stay applied after you refresh the page, leave the Chronology or sign out. Filters on one Matter do not apply to other Matters.

Save filters as a view

  1. Set the filters that you want to save.
  2. In the Filters panel, select Save view.
  3. Enter a name for the view.
  4. Select Save.

Save is unavailable until you enter a name. After you save, the view is selected and its name displays in the view selector.

Saved views are personal. Other users cannot see them. Your saved views are available on the Chronology of every Matter that you open. When you open the Chronology, All is selected, so select your view from the view selector.

Use a saved view

  1. Select the view selector in the toolbar, for example All.
  2. Select the saved view.

The Chronology applies the filters in the view. To display every entry again, select All.

Manage saved views

  1. Select the view selector in the toolbar, then select Manage views.
  2. In the Customise my views blade, to delete a view, select the bin icon next to it.
  3. To change a view, select Edit.
  4. Select Save & Close.

The blade also has an Add View... button for creating a view. [verify]

In List view, you can also open the Customise my views blade from the burger menu, by selecting Customise views. The All view is a system view, so you cannot change or delete it.
