Work items in Clio Operate, such as a matter, a task, a contact or an invoice, are built from smaller building blocks called aspects. One aspect shows a record’s key dates, another lists its documents, and another captures a person’s contact details.

You won’t see every aspect on every record. Which ones appear, and exactly how they behave, depends on how your firm’s system has been set up by your administrator.

Where the sender is a known contact, their name is shown alongside the number to save you cross-checking. | Communications | Notification Email Details | Gives you a read-only view of an automatic email that the system has sent in connection with a work item. You can see who it was sent to, including any copied recipients, who it came from, which template was used, and the subject and full message. Nothing here can be changed; it's purely for reference. This is helpful when you want to confirm exactly what was communicated and to whom, giving you a clear record of the message without the risk of altering it. |

It shows the related work item so you know what the email belongs to, and you can browse to or type the destination folder. A sensible default folder, set up, is suggested for you, and the folder can update automatically if you apply a template. This keeps sent emails neatly stored against the right matter without extra effort. |
| Communications | Outbound Email Details | This is the main screen for writing and editing an outgoing email. You can fill in the To, Cc and Bcc recipients, choose which address it is sent from, add a subject and write the message using a rich text editor with full formatting. Helpful prompts warn you if a recipient is outside your firm or if the email has already been sent. You can adjust how it behaves, such as allowing you to type addresses freely, offering a focused writing mode, or hiding the sender field when there is only one option. |
| Communications | Outbound Fax Details | For sending a fax, this gives you a familiar message screen where you choose a recipient and sender, add a subject, and write the body, with support for templates to speed things up. Faxes are handled much like emails behind the scenes, so the experience feels the same. If your firm has not yet set up faxing, a clear message lets you know it needs to be configured first. Once that is in place, you can compose and send a fax much as you would any other message. |

You choose the recipient, see who it is being sent from, optionally pick a template, and type your message, with a live count of characters, how many texts it will use and the estimated cost as you go. If texting has not been set up, a message reminds you it needs to be configured first. You can also switch to a delivery report view to check whether your messages were received. |

A bank icon and clear label make it easy to spot. Clicking it opens the full list of bank details, where you can view or manage them. It doesn't let you edit anything directly on the spot, it simply takes you to the right place. Bank information such as account and sort codes is kept securely behind the scenes. |
| Contact & organisation records | Contact Details | This is where you keep someone's contact information, such as phone numbers and email addresses, neatly grouped by type. You can add new details, remove ones no longer needed, and mark a preferred one as primary with a star. It works for people, organisations and teams, and the details you enter are searchable, so contacts can be found quickly across the system. If nothing has been entered yet, it simply prompts you that no contact details have been added, making it clear there's information still to capture. |
| Contact & organisation records | Contact Preferences | This captures how and when a contact prefers to be reached. You can set the hours during which they're happy to be contacted, choose their preferred method of contact from the details already on file, and, for staff members, pick which email account messages should be sent from. It works alongside the contact details already recorded, so the options you choose come from that information. For staff records, you can also review notification settings and spot where contact details are missing, helping make sure communications reach people in the way they expect. |
| Contact & organisation records | External Reference | Stores an outside reference for a person or organisation, such as the number another system or partner uses to identify them. You enter it in a single field, making it easy to match your records against someone else's. The same reference can also appear in search results, so when you look the person or organisation up you can spot the one you need straight away. |
| Contact & organisation records | ODS connections | When you search for a contact, this quietly brings along the relationships that contact has with other people and organisations, so the results can show useful context at a glance. For example, alongside a person's name you might see something like "Employer: Acme Ltd," making it easier to pick the right contact. It works behind the scenes to enrich search suggestions, saving you from opening each record just to confirm who is connected to whom. |
| Contact & organisation records | ODS Information Walls | For firms that need to keep certain people away from sensitive matters, this lets you see and change which information barriers, sometimes called ethical walls, a contact belongs to. You simply pick the relevant walls from a list, and membership is updated accordingly. It only appears for existing records and only for staff who have been given permission to view or manage these barriers, helping the firm control who can access confidential information while keeping the day-to-day setup straightforward. |
| Contact & organisation records | Organisation Additional Names | Here you can record extra names an organisation is known by, beyond its main name. There are spaces for a previous name, a registered name and a registered short name, which is handy when a company has rebranded or trades under a slightly different official title. You can choose to hide any of these fields if they are not needed. Keeping these alternative names on file makes it easier to recognise and find the organisation later, even when others refer to it by an older or formal name. |
| Contact & organisation records | Organisation Details | This is the main place to record an organisation's core identifying information: its name, a short name, a company number and a status showing where it stands. The short name can be generated for you automatically to save typing, and the same details are reused to present the organisation neatly in search results and on summary cards. You can relabel or hide individual fields to match how your firm refers to things, so the screen shows just what you need when setting up or updating an organisation. |
| Contact & organisation records | Organisation Tax Information | Use this to capture an organisation's tax registration details, including whether it is registered for tax, its registration number and the relevant country. There is also an option to mark the registration status as unknown when you are not sure. The labels adjust automatically to use whatever tax term your firm prefers, so they read naturally for your region. Holding this information against the organisation keeps it handy for billing and compliance without needing to look it up elsewhere. |
| Contact & organisation records | Person Details | Here you record the identifying details for an individual: title, first name, any middle name, surname, an optional suffix, and a short display name that can fill itself in for you. You can choose whether to show the suffix and a gender option. These details also power searching, so you can quickly find the right person by name, and they appear neatly in search results and summary cards across the system. |
| Contact & organisation records | Person Identity Details | Use this to record an individual's official identity numbers in one place: their National Insurance number, driving licence number and passport number. The fields sit together in a simple row that you can fill in or update. As you type the National Insurance number, the system checks it follows the correct format and gently flags a warning if it looks wrong, helping you catch typos early. The label for that field can be tailored to suit your region. These details are saved as part of the person's main record. |

It quietly checks that the dates make sense, so a birth or death date can't be in the future and a death date can't fall before the birth date. You can choose whether the date of death field is shown at all, keeping the form as simple as needed. The dates are stored as part of the person's main record. |

It is handy for making sure correspondence and communication go out in the language someone is most comfortable with. You simply pick the language from a dropdown, and the choice is saved as part of that person's record. There is nothing extra to set up beyond placing it on the person's screen, and it will only allow editing where appropriate. |

The label on the box can be tailored to suit how your firm works, so it might read "Client Ref" or "Matter Ref" rather than just "Reference". Whatever you enter is saved as part of that record, making it easy to look up and recognise later. |
| Contact & organisation records | Service Provider Connection | Lets you record the details of a service provider's involvement with a matter, capturing when their engagement started and finished along with a reference for it. As you fill it in, it checks your dates make sense, so a start date can't be in the future and an end date can't fall before the start or be in the future either. This keeps a clear, accurate record of who was engaged, for how long, and under what reference, which is useful when you need to look back over the people and providers connected to a piece of work. |
| Contact & organisation records | Sole Trader | Adds a place to record the trading name of a person who runs their own business as a sole trader. When this is switched on for a contact, you simply type in the name they trade under, and it is saved alongside their other personal details. It is a small but useful addition for keeping accurate records of self-employed individuals you work with, so their business name is always to hand wherever that person appears. |

It loads the available time zones for you to choose from, making it easy to record where someone is based. Keeping this accurate helps the system show times correctly for that person and avoids confusion when coordinating across different regions. There are no extra options to worry about; it is simply placed on the profile and ready to use. |
| Documents & filing | Contract Express Questions | When a document needs to be produced from a template, this presents the questions that need answering to fill it out, all gathered in one place. You work through the questionnaire, and once it's complete the document is generated for you and the resulting files are opened ready to review. It keeps the task moving by advancing it to the next stage automatically after the document has been prepared, so you don't have to remember the next step yourself. It's tied to the firm's document-generation templates and appears as part of the task you're working on. |

You can untick any you don't want to happen, giving you control to skip particular steps before they fire. If there's nothing scheduled, it simply stays out of the way, and your choices about what to cancel are saved when you're done. |

You can choose a bundle template, decide where the finished bundle is saved, and organise it into sections, each holding documents in the order you want. You can also add a title page, section headers and separators between documents to give the bundle a polished, professional structure. Editing stays open while the bundle is still in draft, so you can fine-tune the layout before it's produced as a finished file. |

It sorts deliveries into helpful groups such as still in draft, currently sending, already sent, and those waiting to go out at a later stage. You can also open an individual delivery to look closer, and if there's nothing to send it simply doesn't appear. |

You pick the person or organisation you're expecting it from and choose the destination folder, keeping everything tidy and predictable. It can also choose to open the finished document for you straight away. It sits at the heart of producing letters and documents from your work items. You can decide whether the details stay editable after a document has already been generated, giving you the flexibility to tweak and regenerate when needed. |

| Finance, budgets & billing | Account Adjustment Transactions | When you need to adjust an account, this is where you record the individual transactions that make up the change. You can add as many entries as you need, each with its own reference, description, and amount shown in the correct currency, and remove any you've added by mistake. If your firm uses a chart of accounts to organise its finances, you'll be prompted to code each entry to the right account, and you'll see a warning if that hasn't been switched on for this type of work. |

| Finance, budgets & billing | Estimated Settlement (view) / Account Budget (data) | This lets you record and adjust the estimated settlement figure set aside for a matter, giving everyone a clear view of the money reserved against it. You enter the amount and choose a reason for any change, and it won't let the figure drop below the total already requested in payments. Depending on how your firm has set it up, a reason for the change may always be required, or only after the first entry. Editing is limited to people who have permission to manage these reserves. |
| Finance, budgets & billing | Invoice | This is where an invoice is created and viewed. You can see when it was raised and issued, choose its type, set who is being billed, link it to the matter it relates to, add details, set a payment due date and review the line items on it, along with totals for the amount, tax and how much has been paid. It gives you a single, clear picture of a bill and its current state. Because it works closely with your firm's accounts setup, it will let you know if the necessary accounting setup is not yet in place for that type of work. |

At a glance you'll see the plan's name, the total amount owed, how much has been paid so far, and how much is still outstanding. You can click through to open the full plan for more detail. If the invoice isn't linked to a payment plan, the card simply doesn't appear, so it only shows up when it's actually relevant to you. |

You can enter the payment date, the amount in the right currency, and choose who made the payment from your list of contacts. Depending on how you has set things up, you may also be asked to record the payment method, and it can be made a required step. If your firm organises money against a chart of accounts, you'll be able to code the payment to the right account, with a clear warning if that feature hasn't been enabled. |

It is a read-only summary, so it is there for reviewing the payment history on a bill rather than for entering new payments, making it easy to check where things stand on a particular invoice. |

Each allocation appears as its own card with details like the relevant invoice or payment reference, the dates involved, and the amount applied, in the correct currency. Any part of a payment that hasn't yet been assigned to an invoice is clearly flagged as unallocated. You'll also see running totals of what's due and paid, plus handy links to open the related invoice, payment, or payment plan, making it easy to see exactly where the money has gone. |

You can choose who is paying and see the key figures at a glance, including the total to be repaid, how much has been paid, what's still outstanding, and any arrears. Once a plan is active or completed it becomes locked so the agreed terms can't be changed by accident. You can also take a snapshot of the plan to keep a record of its current state, which is then available to look back on later. |
| Finance, budgets & billing | Payment Plan Versions Nav | This gives you a simple way to look back at the history of a payment plan. It shows a small Versions tile that opens up a full history of the saved snapshots of the plan, letting you review how it has changed over time. The tile only appears once at least one snapshot exists, and it shows up automatically as soon as you take your first one, so it stays out of the way until there's actually something worth looking at. |
| Finance, budgets & billing | Payment Request | This is the form for raising a request to pay money out. You can choose who is being paid, optionally record who the cost should be recharged to, set the payment method and the relevant dates, and add a description of what the payment is for. You can capture the payee's bank details and list the individual amounts on a grid, with totals and tax worked out for you in the correct currency. You can tailor which fields appear and which are required, so the form matches how your firm handles payments. |

The date is checked so it can't be set in the future, and you can make entering a date compulsory. Keeping the invoice reference and date alongside the payment request makes it easy to match a payment back to the supplier's invoice and keeps your records tidy and accurate. |
| Finance, budgets & billing | Payment Request Redemption Statement | This captures the details of a mortgage or loan redemption statement linked to a payment request. You can record when the statement was received, the amount, the date the figure is calculated up to, and the daily interest that accrues after that. It also lets you set the date the statement expires as a key date, so the deadline is tracked properly. Having all of this in one place helps make sure a redemption is paid using the correct, still-valid figure before it lapses. |
| Finance, budgets & billing | Purchase Order (terminology-configurable) | Lets you record a purchase order number and the date it was requested against a payment request, so this reference is captured alongside the money side of a matter. The request date is checked to make sure it isn't set in the future. Your firm can rename this feature to match the wording it prefers, so it reads naturally to your team throughout the system. Existing entries are shown when you reopen a saved item, and the captured details can be reused automatically when generating documents. |

The purchase order number and request date can also be pulled into generated documents automatically, saving you from re-typing them. |

If the matching has already been set up, you'll see a confirmation prompt; if it still needs doing, you'll be invited to set it up before going further. A quick button takes you straight to the screen where you can review or adjust the matching, so nothing gets imported into the wrong place. |

It's purely there to confirm the results of your import so you know exactly what made it through. |
