Portal Widget: Configuring Document Repository Viewer

ShareDo provides a rich set of functionalities on top of a Document Management System (DMS). These are typically accessed through the repository view within a case.

Configuring the Widget

After the standard widget Chrome and Display settings, there are the following:
Help for these settings is provided in the blade; the table below lists notes to describe a few items.

Section Description
Repository Context
  • Context: 
    • User: Select the repositories to load in the field below.
    • Work item: Toggle on or off switches to load repositories associated with the work item, and/or also load the repositories from ancestor work items.
Disaplay Settings

Configure the repository view display. For example, the docked preview width, and whether to track the current folder in the URL; if enabled, the current folder will be tracked in the URL so that your position in the repo folders is remembered if you refresh or share the folder.

From version 7.11.0, you can choose to set the Display mode to Flat or Standard for SharePoint, iManage, and NetDocs DMS. In previous versions, only SharePoint could be set to Flat. See the Paging Mode details section below for more details.

Display mode:

  • Standard: Files in the selected folder are shown.
  • Flat: All files in the folder hierarchy are displayed, with paging enabled according to the configuration.
Sidebar Settings Sidebar settings only show if the Show sidebar toggle is on in the display settings.
Ribbon Settings - General Actions General settings to show the print action or upload button are enabled or disabled here.
Ribbon Settings - Selected File(s) Actions These settings affect what options are available in the actions menu when one or more files are selected. See the help text on the blade for each option.
Columns If no columns are added, a default set will me used. The default set are: name, title, created, and modified. Modified by is also available to add.
Other column options These settings allow you to show bulk select checkboxes to the left of a row and the context/burger menu to the right of a row.

Paging Mode details

This feature, available from version 7.11.0, allows you to choose between performance speed and search flexibility when managing large volumes of documents.

For Paging Mode, select Server if the page contains a high volume of documents (e.g., 5,000+) and you are experiencing slow load times. Select Client if you have a smaller document set and require the ability to search within specific folders.

How Paging Mode Works

The paging mode determines where the data processing for your searches occurs. Choosing the right mode ensures your firm remains productive and efficient.

Server Mode

We recommend using Server mode to resolve performance issues where pages load slowly due to massive document counts. Because the search is processed on the server side, performance is greatly improved.

  • Constraint: Users can only search for documents using the All folders option. The Current folder search option is unavailable in this mode.

Client Mode

Client mode was previously the default setting for the Standard view. In this mode, the search happens on the client side (within the user's browser). While this is generally slower for large datasets, it provides more granular search utility.

  • Benefit: Users retain the option to search within the Current folder.

 

Legacy Document Repository Viewer (pre-version 7.8.0)

ShareDo provides a rich set of functionality on top of a Document Management System; these are typically accessed through the repository view within a case.

Key functions provided through this view include:

  • “Live” view of the underlying DMS structure, including adherence to any existing security barriers.
  • Ability to drag and drop documents into a case repository or, indeed, in any one of your matters.
  • Seamless integration with all of ShareDo’s omni-channel functionality, including email, fax, SMS, portals, print, document expectations and the like.
  • Integration with the native search capabilities of the underlying DMS.
  • Document preview, including annotations, redaction and the like.

Configuration options include

  • Display style - flat or Standard.
  • Page Size.
  • Sort Order.
  • File linking behaviour.
  • Side bar - whether this is displayed or not and what functions are enabled.
  • Action - bar - whether this is displayed or not and what functions are available.
  • Ability to specify the columns that are displayed.
