User Management

You can manage your internal and external users in the product administration area.

Internal Users

Internal users are users working within your default organisation.

External Users

External users belong to organisations outside of your default organisation. These users may have access to the system using an external portal or may use different Personas.

User Profiles

You can view your profile or the profile of other users (if you have permissions). Profiles contain key information about the user. Users can view their own profile by clicking on their name at the top right-hand corner of the screen.

User Types

User types can be used to define a certain type of user with certain characteristics e.g. team membership. This gives you a fast way to set up your user.

Authentication

Authentication allows you to verify the user is who they should be; it keeps your application secure. Sharedo supports the most common forms of authentication, including Active Directory, Azure Active Directory, and a local forms-based login.

Viewing Users

To find and access users, use the Launchpad > Admin > Users area of the system.

Clicking once on a user opens that user's profile. If you click Edit Profile in the User Profile menu bar, the Edit Profile blade opens. The Edit Profile blade also opens if you double-click the user in the User Management screen.

 

User Profile Content

The user profile contains the basic details about a user and provides access to other user information such as signature and connections.

The user profile details component allows a user to upload a picture.

If the Availability feature is enabled in ShareDo, then the user is also able to set their out-of-office status and dates.

For forms-based logins, you are able to change the password of the user using the change password link. You are able to change the password of other users if you have the correct permissions.

The contact details section is used to display the contact mechanisms that have been added to the user.
Individual Details  

The individual details section captures important information about an individual.

Party types can be configured in Modeller.

Contact Preferences  
The contact preferences area shows the users' preferred contact hours and mechanisms.
Notification Configuration  
The notification preferences for a user can be set here. See notifications for more information.
Automatic Task Delegation  
Automatic task delegation is enabled on a user's profile when the auto delegation of tasks feature is enabled. This will allow a user to define who tasks will be reallocated to if they are reassigned when the user is unavailable.
Calendar Settings Calendar settings allow a working day calendar to be assigned to a user. This may be used in calculating due date times.

Signature

Component Description
Upload Signature  

The upload signature area allows a user's signature to be uploaded into the application. This can be used to add to letters.

Users are able to click on the Choose file button or drag and drop the file.

Once uploaded, the signature can be resized using the crop button.

Locations

Component Description
Add New Location  
Shows the add location screen, users are able to search for an address for the user and add it. A map is also shown
You are able to have more than one location for a user. Where an address search provider is enabled, the user is able to look up the address.
User Locations  

The locations component will display any locations to which the user is linked.

You are able to unlink an address by clicking on the unlink button.

You are able to edit the address by clicking on the edit button.

You are also able to select an address from any connections the user has. For example, the user could be an external user employed by company A, you may wish to use the company address in a letter rather than the individual location of the user.

Team Membership

Teams

The My Teams blade shows all of the teams the user is a member of. Teams can be used to allocate work, control security, or provide structural context.

The team icon shows the type of team (e.g. padlock for security). See the reference article for teams for details.

The button allows you to add the user to another team.

Click on the button to edit the team, assign a role for the user in the team, remove the user from a team, or manage members of the team.

User Type

Set the type for the user by selecting it from the drop-down. User types can be managed at your ShareDo environment's /modeller/user-types page. For example: https://training.sharedo.co.uk/modeller/user-types
User Credentials  
The user credentials area of the screen contains important information about the user's login account.
Active

Indicates if the user is currently active. If a user leaves the organisation, they should be deactivated.

System preferences can be used to set the amount of time since a user last logged in to set the user to inactive.

Locked

Will be set to Yes if the user has been locked out. This could occur if the user has carried out too many failed password attempts.

To unlock the user, you can simply change the setting back to no.

Identity Provider

The identity provider allows you to select how the user will authenticate into Sharedo.

Supported options include:

  • Forms-based login (Sharedo username and password)
  • Windows AD
  • Azure active directory
  • Facebook
  • Google

Identity Claim This is the user name for this authentication mechanism. For a forms-based login, this can be set to anything. For external authentication providers, this should be set to the login credential for the external system.
Select Organisation

For internal users, this should be the default organisation.

For external users, this should be set to the external organisation.

Competencies

The navigation (nav) bar shows how many competencies (i.e. skills or specialisms) the current participant has. Click to open the blade and view them.

Use the box at the top to filter through the Competencies displayed on the blade.

Use the button at the bottom right to search through and add new Competencies.
 

You can use the Signed Off button to indicate whether the competency is officially assigned or still in a period of probation.

Click when finished.

Persona

Component Description
Persona  

The persona component allows you to specify the view of the system this user will have. Common examples of this are Internal or External views - we may want a client to see a different view of the system.
