The Create a Time Entry toolbox item allows you to automatically generate time entries for specific users as part of a workflow. This feature is designed to handle complex time-keeping structures by adapting to your specific time categories and classifications.

Common Uses

  • Automated Task Completion Recording
    When a specific task within a workflow is marked as complete, the system can automatically generate a time entry for the user who completed it. 
    Example: Automatically recording 15 minutes of "Review" time when a senior lawyer approves a document via a workflow transition.
  • Standardised Activity Logging
    For high-volume, repetitive work where the duration is always the same, this tool ensures consistent time coding without burdening the fee earner. 
    Example: Logging a fixed 6-minute "File Opening" entry once a new instruction work item is successfully validated and moved to an "Active" state. 
  • Event-Driven Time Capture
    Time can be captured based on system events rather than manual "start/stop" timers. 
    Example: Creating a time entry using the Start Time of an inbound communication (like a received email or portal message) to record the administrative time spent processing that item.

Pre-requisites

Time Configuration - Relevant Time Categories, Classifications, and Code Sets must be pre-configured in Admin > Time>

Workitem Id - to use the notification toolbox item you will need to have captured the workitem Id of the work item for which you want to create the document. 

Configure Create a Time Entry

Action Name Give the action a meaning full name
Work Item The ID of the work item this time entry is for.  Select the workflow variable or create a new one.
User The user this time entry is for.  Select the variable or create a new one.
Classification
  • Category - The time entry Category.  What you select here determines the other fields available within the Classification aspect.
  • Classification - The time capture classification the entry uses. Displays only where the selected category holds more than one rule. Where only one classification is possible, it is set automatically.
  • Time Code - The time code sets attached to the selected classification. 
  • Save as Draft - Set whether this time entry should be saved as Draft.
Time Details
  • Start Time - Select the variable that identifies the start time.
  • Duration - Set the length of the time entry. Either enter a fixed number of minutes, or pass in a variable holding the duration.
  • Narrative -  The time narrative. Select from a variable or enter the text. If no narrative is specified, the default work type time configuration is used.
